Quick Employer Forms

When I try to print W2 forms in Quick Employer forms, it is only showing a worksheet format of the W2, and not a pdf version of the W2  you would see on the IRS website.  Is this acceptable filing with the IRS?  The ProSeries technician I spoke with assured me it was. 

I am new to Quick Employer forms for 2024 because my prior W2 and 1099 software company owner retired and shut down his business.  What Quick Employer Forms is printing does not look like a normal W2 form at all.

The form doesn't have to be identical to the IRS form, but without seeing what you are seeing I can't say that the form is good to go or if there is an issue with the software.  Can you black out the employer and employee information on one of your W-2s and post a scanned copy of the form here?

It’s not the prettiest W-2 you will ever see but it works.  The actual information submitted to the Social Security Administration is done electronically so what you see isn’t an exact copy of what gets transmitted.

My question is if one of the recipients of this W2 files a paper tax return and does not efile, will the W2 as presented by this software be acceptable to the IRS and the state since a copy of it has to be attached to a paper filed return.

If you start comparing client W-2s you will see that they come in all sorts of shapes and sizes.  Every company seems to use their own format.  So as long as the box numbers and descriptions are correct, there would be no reason for the IRS to not accept the W-2.

We just tried printing one today, and you are correct that the formatting sucks.  We ordered three part forms and each section of the W-2 prints on its own page and covers more than half the page.  The W-3 really looks wonky and ends up printing on 2 pages - one for the basic information and a second page for the signature.  This is not a stellar start to the new year.

I agree, and I think Proseries through their Quick Employer forms module can do a lot better than this.  I suspect it may generate a lot of questions from recipients of this W2 format as to "what the heck is this?"

In addition, to give recipients what they need in a W2 now requires three sheets of paper vs one when it as a 4up format.

@LindaK75 - I just tried the program and it appears to be back to normal printing.  Is it working for you?

 just tried it and now it is looking like what a 1099 form should like.  This really irritates me because the agent with proseries insisted everything was final and ready to go and the forms as they were over a week ago were acceptable by the IRS.  I already sent out quite a few forms and now I feel like I need to send replacements to those people.  Proseries will hear from me for sure!

I called in yesterday and requested a supervisor because they refused to acknowledge that it was an issue. I told them it doesn't comply with the IRS guidelines as it didn't have the OBM and the wording "Department of the Treasury-Internal Revenue Service". Glad to see it got escalated and someone took seriously. Sometimes we have to push back since and not accept the 'there was a change this year'.

This is my first year with Quick Employer Forms because my old end of year payroll software shut down late in 2024 when the owner retired.  I have used proseries for many years and thought this module would be as good as their other products, but I was very wrong!  I spent a long time in late December on the phone with a tech who supposedly went back and forth with supervisors and insisted that the "worksheet" type of W2 and 1099 was acceptable to the IRS and that I should go ahead and send it my clients, which I did 4 days ago.  This latest update, which was not supposed to happen according to the technician I spoke with back in late December, is exactly how they should look, and now I am trying to decide if I should send updated forms to my clients.  I am definitely calling Proseries tomorrow to express my displeasure and ask what they can do for me to make this right.  I am not pleased with how I may look in the eyes of my clients who were the recipients of the unacceptable "worksheet" W2's and 1099 forms I just sent them.  As far as I know, Quick Employer Forms did not post updates to users advising them to wait to print the forms until they were finalized.

All I can say is expect nothing and that way you won't be disappointed.😉

For the record, calling support is a little like gambling ----- sometimes you end up lucky and get a knowledgeable person.  But most of the time, you end up with someone that is clueless and will try to BS their way through the call.  But for the record, it is mystifying why they released a program that couldn't get the formatting right for something as basic as a W-2.  Other than the year that prints on them, nothing typically changes on the form from year to year so it really shouldn't have been a Herculean task to get it right out of the starting gate.
