Setting up Network printers in ProSeries

by Intuit•2• Updated 3 months ago

A network printer allows multiple users to access the same device, streamlining workflow in a tax preparation office and enabling centralized management. It is a great way to ensure accurate printing of tax forms with correct alignment, barcodes, and paper settings.

Preparing your printer

Connect the printer directly to your network router or switch using an Ethernet cable.

Follow your printer's instructions to connect it to your Wi-Fi network. This usually involves selecting the network and entering the password on the printer's control panel.

Ensure the printer is properly connected and has a valid IP address. You can usually find this information on the printer's network settings menu. Sometimes, you can print a network configuration page from the printer itself.

Installing the Printer Driver

  • Visit your printer manufacturer's website and download the latest drivers for your specifc printer model and operating system.
  • Run the downloaded driver installer and follow the on-screen instructions. Select Network Printer or Add a Printer option during installation.

Configure Printer in Windows or macOS

Windows:

  • Go to Settings > Bluetooth & devices > Printers & scanners.
  • Find your newly installed printer.
  • Right-click and select Printer Properties or Printing Preferences.

MacOS:

  • Go to System Preferences > Printers & Scanners.
  • Select your printer then Options & Supplies or Open Print Queue.

Configure the Printer in ProSeries

  • Launch ProSeries.
  • Select File then Print to open the Print Center.
  • Select Printer, PDF and DMS Setup... to change which printer is selected.
  • You'll see the following fields:
    • Tax Forms Printer
    • Client Letters/Invoice/Client Checklist Printer
    • Client Presentation Printer
    • Labels Printer
  • Change the ones you'd like to your Network Printer by selecting Change... under the respective fields.
  • Choose your network printer from the list of available printers.

Troubleshooting

  • If ProSeries can't find the printer, check the network connection. Make sure the printer is online and has a valid IP address. Restart your router and printer if necessary.
  • If you're having trouble printing, try reinstalling or updating the printer driver.
  • Double-check all the printer settings within ProSeries.
  • Ensure your firewall isn't blocking communication between ProSeries and the printer.
