Resolving e-file batch error "unable to copy database record" in Lacerte

This article will help you resolve errors similar to the following:

"Exception occurred during EF batching client: Unable to copy database record. DB=DATA8I19, ErrorNo=1" (ErrorNo may equal 4 or 6 instead.)


If you are receiving the ErrorNo=4 variant, as pictured above, you can skip the first two sections below and perform a Detail file swap to resolve it.

This error may occur when you try to e-file a return for a variety of reasons. Follow the steps below to resolve the ErrorNo=1 and ErrorNo=6 variants and e-file.

Copy the client file:

  1. Go to the Client list.
  2. Select the affected client.
  3. From the Client menu, select Copy.
  4. Enter a distinct client number, and select OK.
  5. E-file the return.

You may be prompted for REP access again. However, since the client's name and tax ID are the same, you won't receive a duplicate charge.

If you're still getting the error, continue to the steps below.

Clear your temp folder:

  1. Close all applications on your computer.
  2. Search run at the Windows start menu and select the Run app.
  3. Enter %temp%, then select OK.
    • Your temp folder will open.
  4. Select all of the files.
    • Press Ctrl+A to select all clients quickly.
  5. Select Delete.
    • If you see a message that certain files are in use and can't be deleted, select OK to skip the files and close the message.
  6. Open Lacerte.
  7. E-file the return.

It is critical that you perform these steps exactly. Don't delete anything from the Data folder or the Client list.

  1. Keep the affected client's client number on hand. For example, ORIG will signify the affected client number.
  2. Go to the Client menu and select Add.
  3. Enter a new client number (such as TEMP) and select OK.
  4. Go to the Help menu and select Troubleshoot.
  5. Copy the data path (For example, C:\Lacerte\IDATA).
  6. Using the file explorer, navigate to that data path.
  7. Open the Detail folder.
  8. Find the file for the new client that was created (TEMP) with the client number as the filename. For example, TEMP.ID0.
  9. Right-click on the file and rename it by appending OLD to the file extension. For example, TEMP.ID0OLD.
  10. Find the file for the affected client, such as ORIG.ID0.
  11. Right-click on the affected client file and select Copy.
  12. Right-click and paste it into the same folder.
    • The pasted file will automatically include the word "copy" inserted in its name, such as ORIG-Copy.ID0.
  13. Right-click on the pasted file and rename it using the new client number you created in step 3.
    • For our example, rename "ORIG-Copy.ID0" to "TEMP.ID0".
  14. Return to Lacerte and open the new client you created in step 3.
  15. Complete Screen 1 and Screen 2 with the client's and dependents' information (if applicable).
    • Data in all other screens will copy over.
  16. E-file the new client.
