How do I merge client data in ProConnect Tax?

You may have noticed the same clients are listed in your client list in ProConnect Tax and your customer list in QuickBooks Online Accountant. This is because, by default, these lists are synchronized. Any client you create in one is automatically added to the other.

It's possible to end up with duplicate entries. This might happen when you add a client to both the ProConnect Tax client list and the QuickBooks Online Accountant custom list. You can combine duplicate clients into a single entry by using the Merge Duplicate Clients utility.

Only the primary admin and firm users with full access can perform a consolidation. Other users will not see this option.

  • Choose the company details you want to keep for each matched pair of clients.
  • The utility keeps transactions and client notes for both clients.
  • QuickBooks changes team permissions for the matched client, but team access permissions stay the same for the target client.

Follow these steps to consolidate duplicate clients:

  1. Open ProConnect Tax.
  2. In the left view, choose QB Accountant.
  3. Select Settings.
  4. Under Tools, select Merge Duplicate Clients.
  5. Select Get started.
  6. Mark the checkbox for each QuickBooks Online client you want to merge.
  7. For each selected client, select the name of the client to merge with from the Matched Client Name dropdown list.
    • You must select a matched client for each Target client you selected.
  8. Select the Select client contact info button.
  9. For each match, use the dropdown lists on the Select client contact info screen to specify the client contact data.
    • For example, Company nameDisplay nameEmail, or Mobile) to keep when the clients are merged.
  10. Select the Verify changes button once you've specified all of the data to keep.
  11. Review all the information, make any changes necessary and select Merge clients.
  12. Select Done.

  1. What if I use Intuit Link and I need to merge a client that has documents attached?
    • In this case, you'll need to download all documents prior to using the merge tool. Refer to this article for more information.
  2. I used Intuit Link but didn't download the associated files prior to merging clients. Can I access these documents?
    • You should contact a member of support for assistance.
  3. If the clients that I am attempting to merge both have tax returns, will they be merged?
    • Yes, both tax returns will be attached once the clients have been merged.
  4. I merged two clients in error but need to separate them. Can I do this?
    • No. You should double-check for accuracy before merging two clients.
  5. I also use QBOA. Can I use the merge tool for QBOA and ProConnect Tax clients.
    • Yes, you can merge both QBOA and ProConnect Tax clients with the merge tool.
  6. I have a QBOA client and a ProConnect Tax client. My QBOA client has a QBO company and documents attached. I want to merge these clients. What happens to the QBO company and documents?
    • Your access to the client's QBO file will remain.
  7. I have a QBOA client and a ProConnect Tax client. My ProConnect Tax client has Link attached. I want to merge these clients. I know that the documents won't merge. What happens when I send a new invitation to the same e-mail address?
    • Your client will be able to accept the invitation but won't see historic data.
  8. I have two ProConnect Tax clients. I need to merge these two clients. Am I able to?
    • If both the target client and the matched client originated in ProConnect Tax or reversed, they can be merged.
  9. Can we merge individual and business clients?
    • Yes.
  10. If I merge an individual and business client, is the SSN or EIN kept?
    • If the target client is a business client then the EIN will be kept. If the target client is an individual client, then the SSN will be kept.
