CCH Axcess Tax backup instructions for data conversion

Before you start:

  • Do not use the Backup Utility
  • Calculate all client files in your original program.
  • Remove any locks.
  • Remove any passwords
  • Individual (1040)
  • Fiduciary (1041)
  • Partnership (1065)
  • Corporation (1120)
  • S-Corporation (1120S)
  1. Create a new folder on your C: drive named ConversionData before you begin the backup process (e.g., C:\ConversionData).
  2. Within the CCH Axcess software open Return Manager.
  3. Select the returns that you need to transfer. You may select more than one by holding down the Ctrl key and clicking multiple returns. 
  4. Click the Utilities tab on the ribbon.
  5. In the Maintenance section, click Transfer to Prosystem fx.
  6. Enter an Office Group name.
    • Office Groups are used in ProSystem fx Tax, similar to how Return Configuration Sets are used in CCH Axcess Tax.
    • If you do not know what Office Group the return will belong to in CCH ProSystem fx Tax, enter something generic here.  The Office Group can be changed in Office Manager after the return has been imported into the program.
  7. Change the location that the export file will be created in to C:\ConversionData
  8. Click Transfer.
  9. When the Transfer process is complete a Return Transfer Report appears.

Open C:\ConversionData to view the files and folders that have been backed up. For data conversion to be successful the following files and folders must be present:

  • Each file in the folder should have a .dat file extension.

What items will be converted?

The main purpose of this conversion is to get your data ready for the following tax year. Therefore, viewing a Form 1040 will not display the same results that had been filed. The conversion is very limited and includes only the basic information in the following PDF document.
