How to create prenotes for direct deposit in EasyACCT
This article explains how to create or recreate prenotes for direct deposit.
- A prenote is a zero-dollar test transaction sent through the ACH network to test whether it'll work properly before live transactions are processed.
- The prenote process automatically enters the date of the prenote in the Employee Direct Deposit setup screen.
- A direct deposit (advice) won't trigger until 13 business days after the prenote date.
- If a payroll is generated within that 13-day period, a physical check will be produced instead of an advice.
- Select EasyACCT Utilities, Electronic Funds Transfer, then Process Transactions.
- Select Payroll Direct Deposits in the Type of EFT Transaction dropdown menu.
- Select the Company Bank ID for processing.
- Enter the Effective Date of Transactions or the date when funds are deposited into employees' accounts.
- Don't check the box to Import Payroll Direct Deposits.
- Enter a description for the transaction (for example, PRENOTE). This description typically appears on the account statement.
- Check the Automatically Create Prenotes box.
- Click Continue to access the Payroll Direct Deposit Entry screen.
- Select Create ACH File.
- In the pop-up window, enter a destination path for the file.
- The system defaults to the A: drive but you can choose another destination.
- Click OK and then Yes to create the ACH file.
- After creating the ACH file, an option appears to print a Transaction Listing and ACH File Format Listing.
- Indicate the number of copies and click Print or select Cancel.
- In the Employee Information Update screen for the employee, click on the Direct Deposit button.
- In the pop-up box, make the necessary changes to the employee's bank information and then delete the dates in the Prenote and First Deposit fields.
- Click on Close in the pop-up box, then exit the employee screen.
- Follow the steps listed previously to create the prenote.
