{"id":58902,"date":"2025-02-19T08:00:00","date_gmt":"2025-02-19T14:00:00","guid":{"rendered":"https:\/\/taxprocenter.proconnect.intuit.com\/?p=58902"},"modified":"2025-02-07T09:00:49","modified_gmt":"2025-02-07T15:00:49","slug":"ways-to-protect-taxpayer-data-against-cyberthieves","status":"publish","type":"post","link":"https:\/\/accountants.intuit.com\/taxprocenter\/practice-management\/ways-to-protect-taxpayer-data-against-cyberthieves\/","title":{"rendered":"3 ways to protect taxpayer data against cyberthieves"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">In a recent SmartVault webinar, Randy Johnston of <a href=\"https:\/\/www.k2e.com\/\" target=\"_blank\">K2 Enterprises<\/a>, and <a href=\"https:\/\/accountants.intuit.com\/taxprocenter\/author\/lukekielytax\/\">Luke Kiely<\/a>, a law enforcement veteran and SmartVault\u2019s chief information security officer, discussed a group of people that plague tax and accounting firms at tax time: cyberthieves.\u00a0\u00a0<\/p>\n\n\n\n<p class=\"has-x-large-font-size wp-block-paragraph\"><strong>Why are accounting firms so vulnerable to cyberattacks?&nbsp;<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">From January through April, <a href=\"https:\/\/www.irs.gov\/newsroom\/irs-security-summit-partners-warn-of-surge-in-new-client-scams-aimed-at-tax-pros-as-2024-filing-season-approaches\" target=\"_blank\">tax fraud and scams are rampant<\/a>, and each year, criminals only get bolder more clever. Unfortunately, the costs to taxpayers are enormous. Here\u2019s an example to put \u201cenormous\u201d into perspective: The government estimates billions of dollars were stolen by fraudsters from programs meant to help taxpayers during the pandemic. In fact, they\u2019re calling the massive amount of theft \u201cthe biggest fraud in a generation.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This isn\u2019t meant to scare you. The attackers get into the system and encrypt the data with <a href=\"https:\/\/taxprocenter.proconnect.intuit.com\/practice-management\/how-ransomware-may-affect-your-tax-practice\/\">ransomware<\/a>, rendering the files completely useless. Frequently, they demand a lot of money\u2014more than many small firms have available\u2014to unlock the information and return it to the business owner. When it comes to accounting firms, thieves are well aware of the tax season schedule and often plant malware months in advance. Then they make a move right before a crucial tax deadline, leaving accounting firms struggling and in a bad position.&nbsp;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">According to Randy, in the last several years, law enforcement saw a huge jump in fraudulent e-filing cases where cybercriminals used sophisticated techniques to take advantage of taxpayers who would be getting refunds of $5,000 or more.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cThey didn\u2019t take the small stuff,\u201d he says. \u201cInstead, they used codes to look for larger refunds and then intercept the e-file, rerouting the money from the taxpayer to an offshore bank account. Worse still, even though the IRS and security software vendors are well aware of attacks like these, they haven\u2019t yet come up with systems that can completely protect accountants and taxpayers.\u201d<\/p>\n\n\n\n<p class=\"has-x-large-font-size wp-block-paragraph\"><strong>What can firms do to safeguard data?<\/strong><strong>&nbsp;<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Whether your firm is large or small, Randy and Luke agree: You <em>should <\/em>expect criminals to try to circumvent your defenses, especially at tax time.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Remind team members to examine email carefully. <a href=\"https:\/\/taxprocenter.proconnect.intuit.com\/tax-law-and-news\/irs-dirty-dozen-phishing-smishing-and-more\/\">Phishing emails<\/a> often have odd reply addresses, strangely worded content, and a sense of urgency:&nbsp; hackers frequently try to push people into responding hastily to get what they want.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cAsk yourself, \u2018Am I likely to get an email from a CEO asking to make a change to a bank account at 5 pm on a Friday?\u2019\u201d asks Luke. And if one of your team members believes they might have made a mistake, it\u2019s crucial that they don\u2019t wait to tell you.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Randy: \u201cOne of the saddest calls I get is when a non-client CPA firm contacts me, and they\u2019ve had a team member who got a spam email, compromised the system late on a Friday night, and then said, \u2018Yeah, that doesn\u2019t look right, but I\u2019ll deal with it Monday.\u2019 This just lets the process take off.&#8221;<\/p>\n\n\n\n<p class=\"has-x-large-font-size wp-block-paragraph\"><strong>3 ways to protect your clients\u2019 data<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">While all of this sounds frightening, there are ways you can protect yourself. When prompted to choose his top three security measures, Luke offered the following:&nbsp;<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Identify data that is essential to operating your firm.<\/strong> Then <a href=\"https:\/\/www.smartvault.com\/product?utm_source=direct&amp;utm_medium=other&amp;utm_name=other&amp;utm_content=product%20intuit\" target=\"_blank\">back it up to a cloud provider,<\/a> such as SmartVault, that isn\u2019t attached to your network. This will protect it in the event of machine failures, power outages, and ransomware attacks. Randy offered this additional advice: \u201cThe Department of Homeland Security has their 3-2-1 philosophy: Three copies in two different media with at least one off-site.\u201d Don\u2019t just trust your hosting provider to safeguard your data. It\u2019s not paranoid: Backing everything up is critical.<\/li>\n\n\n\n<li><strong>Protect yourself against malware by installing recognized, commercial antivirus software.<\/strong> Furthermore, take the time to educate your staff about cyberattacks and security measures, including avoiding downloading, as Luke calls them, \u201cdodgy apps.\u201d Then keep your firmware and IT system up to date. Once machines and software get old, they become more vulnerable to exploitation.<\/li>\n\n\n\n<li><strong>If your firm has a BYOD (bring your own device) policy, create rules about what employees can and cannot do on the device.<\/strong> Many people now use their own smartphones and personal laptops to access company servers, so the use of personal devices for work purposes needs to be considered. If you are unable to supply all your staff with company devices, at least make sure everyone has security systems that are maintained and updated by a professional IT team and that they are following the safety rules you\u2019ve created.&nbsp;<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Some final takeaways: There will always be vulnerabilities, so keep a watchful eye out for phishing emails and anything that seems off, back your systems up regularly, and follow the basics.<\/p>\n\n\n\n<p class=\"has-x-large-font-size wp-block-paragraph\"><strong>Protecting your practice<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Hackers always look for new, more sophisticated ways to access sensitive information.
