Here are some tips that have worked for us regarding our team, clients, and workflow.<\/p>\n<p><b>Your team: hiring, managing and training<\/b><\/p>\n<p>The people in your firm will determine the success or failure of your business. They are your most important asset. Yet, a bad hire can drive away clients and poison morale. My team is important, and while I intentionally invest my time and money in each of them, it all starts with <a href=\"https:\/\/accountants.intuit.com\/taxprocenter\/practice-management\/hiring-and-managing-talent-for-tax-season\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\">hiring the right candidates<\/a>.<\/p>\n<p>Before you hire, you need to:<\/p>\n<ol>\n<li>Be the BEST place to work.<\/li>\n<li>Discern if you need a person with little experience or 10 years\u2019 experience.<\/li>\n<li>Create an organizational chart for this year and three years out.<\/li>\n<li>Develop a career path that gets candidates excited to grow.<\/li>\n<li>Post a job ad that attracts the right candidate and repels the wrong candidate.<\/li>\n<li>Offer a referral fee for recommending a rock star.<\/li>\n<\/ol>\n<p>In the tax and accounting world, most people would only look at skills, but what I\u2019ve learned is that I also need to hire for attitude. In addition, people want to do work that matters.<\/p>\n<p>To <a href=\"https:\/\/accountants.intuit.com\/taxprocenter\/practice-management\/how-to-manage-employees-for-retention-and-productivity\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\">manage<\/a> and train a team, you need to invest in people on a business and personal level. The investment is of time and having conversations is key. I recommend reoccurring meetings every week with each person on your staff. For example, I have three managers I meet with every Monday, then my managers meet with each person in their department weekly.<\/p>\n<p>Weekly meetings help build a successful culture, improve the accuracy of work, and train the staff.<span class=\"Apple-converted-space\">\u00a0<\/span><\/p>\n<p>Some good books on hiring, managing, and training your staff include:<\/p>\n<ul>\n<li>\u201c<a href=\"https:\/\/www.amazon.com\/Clockwork-Design-Your-Business-Itself-ebook\/dp\/B078GDX7BP\" target=\"_blank\">Clockwork: Design Your Business to Run Itself<\/a>\u201d by Mike Michalowicz<\/li>\n<li>\u201c<a href=\"https:\/\/www.amazon.com\/Ideal-Team-Player-Recognize-Cultivate-ebook\/dp\/B01B6AEJJ0\/ref=sr_1_1?dchild=1&amp;keywords=%E2%80%A2+The+Ideal+Team+Player&amp;qid=1605642494&amp;s=digital-text&amp;sr=1-1\" target=\"_blank\">The Ideal Team Player: How to Recognize and Cultivate the Three Essential Virtues<\/a>\u201d by Patrick Lencioni<\/li>\n<li>\u201c<a href=\"https:\/\/www.amazon.com\/Who-Method-Hiring-Geoff-Smart-ebook\/dp\/B001EL6RWY\/ref=sr_1_1?dchild=1&amp;keywords=Who&amp;qid=1605642556&amp;s=digital-text&amp;sr=1-1\" target=\"_blank\">Who: The A Method for Hiring<\/a>\u201d by Geoff Smart<\/li>\n<\/ul>\n<p><b>Clients: communication, advisory, and paperless<\/b><\/p>\n<p>No matter what kinds of processes you have, you need to consider how they will impact your clients. You want to make your processes easy, but you also want to make sure you consider any changes from your clients\u2019 point of view.<\/p>\n<p>Here are some client best practices for consideration:<\/p>\n<ul>\n<li>Have a secure client portal. There are many good ones out there; we use <a href=\"https:\/\/www.smartvault.com\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">SmartVault<\/a>.<\/li>\n<li>Maintain an online software to text clients. We use <a href=\"https:\/\/www.jivesoftware.com\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">Jive<\/a>.<\/li>\n<li>Have clients fill out a payment authorization when they turn in their tax docs and tax organizer. Before we e-file the return, we send clients a sales receipt instead of an invoice.<\/li>\n<li>Use <a href=\"https:\/\/proconnect.intuit.com\/esignature\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\">eSignature<\/a> to get electronic signatures. It\u2019s easy and offers a quick turnaround.<\/li>\n<li>Communication is key. Our firm communicates by email, text, and phone calls. We also send out electronic newsletters with blog articles three times a month. Check out our <a href=\"https:\/\/www.adminbooks.com\/blog\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">blog<\/a>.<\/li>\n<li>Create a Facebook business page. We post about 15 times a week, providing educational tips and reminders to more than 1,300 fans.<\/li>\n<\/ul>\n<p>Have you ever prepared a return where the client calls or emails saying, \u201cHey \u2026 why do I owe $2,000 more on my return? I got a refund last year. You must have done something wrong.\u201c<span class=\"Apple-converted-space\">\u00a0 <\/span>If so, this is an indication that the client needs your advice.<\/p>\n<p>We have some clients who only want their tax return prepared because they are W-2 employees, homeowners, and their situation has stayed the same for years. However, we have other clients who<span class=\"Apple-converted-space\">\u00a0 <\/span>see the value in taking that tax return and using it as a tool to project and strategize on their situation.<\/p>\n<p>At our firm, we have created a roadmap for our clients to follow:<\/p>\n<ul>\n<li>The Essentials track is where we keep them in compliance with the IRS; this is a transactional service.<\/li>\n<li>The Premium track is where we can transform their situation, providing them tax savings and business growth. In fact, <a href=\"https:\/\/proconnect.intuit.com\/tax-practice-of-the-future\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\">advisory<\/a> is where we focus on our time and energy, not just at tax time, but throughout the year.<\/li>\n<\/ul>\n<p><b>Your workflow: internal process, billing, and paperless organizer<\/b><\/p>\n<p>Accountants by nature are detailed, an important trait when noticing the numbers don\u2019t look right on a tax return. But, being detailed can also be a curse; we can make things more complicated than they need to be.<\/p>\n<p><a href=\"https:\/\/accountants.intuit.com\/taxprocenter\/practice-management\/steps-to-streamline-your-sales-and-onboarding-workflows\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\">Streamlining workflow<\/a> is very important. For example, instead of chasing down W-2s from our clients, our tax pros only prepare the returns and meet with clients.<\/p>\n<p>In addition, we require all clients to fill out an organizer, engagement letter, and payment authorization. Paperless organizers make is easy for our clients. If it\u2019s not easy, they won\u2019t do it. For years, we have used a PDF fill-in doc, but for tax year 2020, we are moving to an online organizer that we hope will make things easier for our clients.<\/p>\n<p><b>Share your best practices<\/b><\/p>\n<p>What works in your firm?
