There has been a scramble to create remote-work practices and help employees set up makeshift offices in their dining rooms, living rooms, and bedrooms.<\/p>\n<p>Even the most traditional firms are being forced to confront any squeamishness they held toward remote work. Unsurprisingly, new challenges have emerged and existing challenges are being exacerbated.<\/p>\n<p>There is one all-too-common mistake that firms are making right now: trying to replicate their existing communication practices across their newly distributed team.<\/p>\n<p>When you are under one roof, passing a colleague in the corridor or tapping them on the shoulder to clarify something is an everyday occurrence. This does not happen when you are remote.<\/p>\n<p>A <a href=\"http:\/\/accountants.intuit.com\/taxprocenter\/practice-management\/online-meeting-technology-options-for-tax-season-and-beyond\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\">video conferencing<\/a> solution such as <a href=\"https:\/\/zoom.us\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">Zoom<\/a> is brilliant for replacing in-person meetings, and instant messaging tools such as <a href=\"https:\/\/slack.com\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">Slack<\/a> or <a href=\"https:\/\/www.microsoft.com\/en-us\/microsoft-365\/microsoft-teams\/group-chat-software\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">Microsoft Teams<\/a> can be useful for hashing something out quickly or as a virtual water cooler, but these tools, alone, do not equip your firm to work remotely, particularly when they are used ineffectively.<\/p>\n<p>If this is what your firm is relying on, it is extremely likely that you are now:<\/p>\n<ul>\n<li>Sending and receiving more <a href=\"https:\/\/accountants.intuit.com\/taxprocenter\/practice-management\/how-to-keep-your-inbox-organized\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\">email<\/a>.<\/li>\n<li>Facing communication blindspots.<\/li>\n<li>Dealing with siloed client and internal data.<\/li>\n<li>Having more meetings.<\/li>\n<li>Being constantly disrupted by notifications.<\/li>\n<li>More <a href=\"https:\/\/accountants.intuit.com\/taxprocenter\/practice-management\/how-to-manage-stress-and-keep-your-team-engaged-during-a-crisis\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\">stressed<\/a>.<\/li>\n<li>Worried about things slipping through the cracks.<\/li>\n<li>Working longer hours just to keep up.<\/li>\n<\/ul>\n<p><b>Communication is at the core of remote work<\/b><\/p>\n<p>For all the discussion about changes and the right tools for working remotely, your primary focus needs to be on\u00a0<i>how<\/i>\u00a0you communicate.<\/p>\n<p>You\u2019ve likely already been using <a href=\"https:\/\/accountants.intuit.com\/taxprocenter\/practice-management\/what-jasen-stine-wants-the-accounting-industry-to-know-about-the-cloud\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\">cloud tools<\/a> for account reconciliation and email that have not changed. You are also likely already using video chat on occasion.<\/p>\n<p>The crucial challenge in\u00a0<a href=\"https:\/\/miro.com\/guides\/remote-work\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">remote work<\/a>\u00a0for your firm is effective collaboration within your team.<\/p>\n<p>How do you make sure the team isn\u2019t duplicating efforts?<\/p>\n<p>How do employees stay accountable to tasks while out of the office?<\/p>\n<p>How do you maintain team culture and keep staff motivated without the office chatter?<\/p>\n<p><b>Instant messaging and the illusion of communication<\/b><\/p>\n<p>An instant messaging app such as Slack or Microsoft Teams makes a lot of sense at first glance. In theory, it can keep everyone accessible\u00a0<a href=\"https:\/\/blog.greenthumbs.in\/employee-engagement-during-covid19\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">just like it did at the office<\/a>, and everyone uses some sort of messaging in their normal life outside of work, so it should be easy to implement.<\/p>\n<p>Just shoot a quick message and be done with it, right?<\/p>\n<p>This is true in practice, but only\u00a0<i>some\u00a0<\/i>of the time. In reality, most of the time, messaging is not the best communication tool. Here are some of its pitfalls:<\/p>\n<ul>\n<li><b><\/b><b>Constant interrupting.\u00a0<\/b>The constant blink of notifications can be disruptive, to say the least. Most of us simply can&#8217;t ignore a new notification and look into it immediately. This leads to decreased productivity, as well as confusion, when it comes to priorities. Chances are that what your team was working on before getting that notification was what they were supposed to be working on in the first place.<\/li>\n<li><b><\/b><b>It\u2019s out of context from the actual work.\u00a0<\/b>Instant chat is a whole new system, completely separate from the tools your team uses to get their work done. It is hard to discuss something when the critical details aren\u2019t front of mind, talk about the response to a difficult client email when that email isn\u2019t right there, or draw on a colleague\u2019s comment from last week that you just can\u2019t locate right now.<\/li>\n<li><b><\/b><b>It&#8217;s exhausting.\u00a0<\/b>Following a group conversation with no clear direction is tiring, inefficiency, and stressful. Instead of using all your focus to get work done, you end up splitting it up with a conversation that, although probably important, wasn\u2019t urgent.<\/li>\n<li><b><\/b><b>Chopped\u2011up thoughts.\u00a0<\/b>Just because everyone is typing a lot and multiple messages are being sent doesn&#8217;t mean that everyone is communicating or even on the same page. The nature of instant messaging isn\u2019t conducive to sharing complete thoughts.<\/li>\n<\/ul>\n<p>As you may be already experiencing,\u00a0 the effect of relying too much on instant messaging is a distracted, stressed, and inefficient team.<\/p>\n<p><b>A better way to work together when you\u2019re apart<\/b><\/p>\n<p>If instant messaging is not the answer, what is? How can you keep your team aligned when they are distributed?<\/p>\n<p>First, you need to increase your use of asynchronous communication.<\/p>\n<p>Asynchronous communication is when you communicate without the\u00a0<a href=\"https:\/\/karbonhq.com\/resources\/the-harm-of-immediate-response-expectations\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">expectation of an immediate response<\/a>. An example would be answering an email a couple of hours or even a full day after receiving it, without the exchange affecting the work. This is opposed to a direct message on a collaborative platform. There\u2019s a decent difference and a\u00a0<a href=\"https:\/\/karbonhq.com\/resources\/bridging-the-gap-between-email-and-slack\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">bit of a gap between the two<\/a>.<\/p>\n<p>The shift to a more asynchronous type of communication results in employees having control over\u00a0<i>when<\/i>\u00a0they reply back. This allows them more time for uninterrupted\u00a0<a href=\"https:\/\/karbonhq.com\/resources\/what-is-deep-work-and-why-is-it-so-important\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">deep work<\/a>, where work of the highest quality gets done. It also allows people more time to take action and reflect.<\/p>\n<p><b>Context is critical for collaboration<\/b><\/p>\n<p>Even with all the fundamental elements to communicate, no one can function at 100 percent without the\u00a0<a href=\"https:\/\/karbonhq.com\/resources\/why-context-is-key-to-effective-collaboration\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">proper context<\/a>. Imagine attempting to put together a puzzle, as a team, in different locations. Someone has a couple hundred pieces, a teammate has several dozen, and so on, but only you have the complete image of the puzzle.<\/p>\n<p>This illustration shows the value of context when <a href=\"https:\/\/accountants.intuit.com\/taxprocenter\/practice-management\/maintaining-a-team-feeling-while-working-remotely\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\">remote teams<\/a> collaborate on a project. Each bit of communication &#8211; an email, phone call, or even deliverables, are pieces to the overall project or puzzle.<\/p>\n<p>Using multiple tools and forms of communication must be easily organized and seen in the context of the broad plans and projects of your firm.<\/p>\n<p><b>The right tool for the job<\/b><\/p>\n<p>Now that we\u2019ve established that asynchronous work makes sense, choosing the right tool to make it happen for your firm is the next logical step.<\/p>\n<p>Workstream\u00a0<a href=\"https:\/\/karbonhq.com\/resources\/12-reasons-why-your-team-needs-a-workstream-collaboration-tool\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">collaboration tools<\/a>\u00a0are designed to structure, organize, and keep track of work progress where high\u2011level teamwork is needed to finish all the key aspects of tasks.<\/p>\n<p>You could try and make it work with email, spreadsheets, or a generic workflow tool, but the reality is that these aren\u2019t tailored to the unique needs of tax and accounting firms &#8211; and it probably means adding\u00a0<a href=\"https:\/\/karbonhq.com\/resources\/tech-clutter-is-killing-your-company-culture\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\" target=\"_blank\">more apps to your existing tech stack<\/a>.<\/p>\n<p>When you give it a go with generic collaboration tools, you risk:<\/p>\n<ul>\n<li>Investing in tools that have features that you don\u2019t need.<\/li>\n<li>Finding yourself adding unnecessary clutter to existing processes.<\/li>\n<li>Ending up using tools that don&#8217;t have the essential features you actually need.<\/li>\n<\/ul>\n<p>This is why choosing a workstream collaboration tool designed specifically for firms makes sense; get everything you\u00a0<i>do<\/i>\u00a0need and none of what you\u00a0<i>don\u2019t<\/i>.<\/p>\n<p><b>No Band-Aid solutions<\/b><\/p>\n<p><a href=\"https:\/\/proconnect.intuit.com\/coronavirus\/\"title=\"\"  target=\"_blank\" rel=\"false noopener noreferrer\">COVID-19<\/a> has changed what&#8217;s normal in the workplace and on how you live your day\u2011to\u2011day lives.<\/p>\n<p>We do not know how long the current situation will last, but all indications show that this is going to be the new normal for some time.
