What to review after transferring a company from 2025 to 2026 in EasyACCT Information Return System

by Intuit• Updated 4 days ago

Starting with tax year 2026, the Company Information screen in EasyACCT Information Return System is restructured for e-filing information returns with the IRS. When you transfer a company from 2025 to 2026 with Prior Year Utilities, most data carries over automatically, but some fields need to be filled in or reviewed manually. This article explains what changed and what to check after the transfer.

Why the screens changed

The IRS is retiring the FIRE (Filing Information Returns Electronically) system, which will fully shut down on November 19, 2026. Starting with tax year 2026 returns (filed during the 2027 filing season), the Information Returns Intake System (IRIS) is the only IRS system for e-filing 1099s. Instead of the legacy FIRE flat file, EasyACCT Information Return System now produces a CSV file that follows IRS Publication 5717 formatting, which you upload directly into IRIS. The Company Information screen and the 1099 forms were restructured to match the field structure IRIS requires.

What changed on the Company Information screen

  • Entity Type selector (new): choose Business or Sole Proprietor at the top of the screen. IRIS requires the filer's entity type to be declared explicitly.
  • Federal ID split by entity type: the combined Federal TIN/EIN/SSN field is now Federal EIN in Business mode and Federal SSN in Sole Proprietor mode.
  • Individual names are separate fields: in Sole Proprietor mode, the Company Name fields are replaced with Suffix, First Name, Middle Name, and Last Name.
  • One unified address block: the separate Company Foreign Address popup is removed. Domestic and foreign addresses both use Address 1, Room/suite no, City or town, Country, State or province, and ZIP/foreign code directly on the Main tab.

Before (2025): the separate Company Foreign Address popup, which is removed in 2026.

After (2026): the Company Information screen with Business selected.

How your 2025 data transfers

EasyACCT Information Return System detects the entity type automatically from the format of the 2025 Federal TIN/EIN/SSN value:

  • An EIN-format value (xx-xxxxxxx) transfers as Business, populating Federal EIN. Company Name 1 and 2 map directly — no action needed.
  • An SSN-format value (xxx-xx-xxxx) transfers as Sole Proprietor, populating Federal SSN. Only Company Name 1 maps into First Name; Company Name 2 is dropped, since the IRS CSV schema has no second name field for individual filers. This is expected behavior.
  • Domestic addresses: Address 1, City, State, and ZIP map directly, and Country is filled with US automatically. Room/suite no is left blank (it's a new field with no source data).
  • Foreign addresses (companies that had Company is a Foreign Corporation checked in 2025): Address 1 maps directly; Country, State or province, and ZIP/foreign code come from the old Foreign Address popup. City or town is left blank, because 2025 never collected a city for foreign entities.

In 2025, foreign companies were flagged with the Company is a Foreign Corporation checkbox on the Electronic Filing tab.

What to review after the transfer

After running Prior Year Utilities, review the entire Company Information screen — not just the fields listed below. The transfer logic is automated and based on format and checkbox values, so edge cases may need correction.

  • Sole Proprietor records: split the transferred name (which lands entirely in First Name) into Suffix, First Name, Middle Name, and Last Name.
  • Domestic records: check Room/suite no — it will be blank. If suite or unit info was previously entered in Address 1, move it to this field.
  • Foreign records: enter City or town manually (it will be blank), and check Room/suite no.
  • All records: confirm the auto-mapped fields — Entity Type, Country, State or province, and ZIP/foreign code — are accurate.

The same changes apply to every 1099 form

Each 1099 form type (1099-NEC, MISC, DIV, INT, R, B, A, and so on) now has the same entity type selector and unified address block at the Recipient or Borrower level. During the transfer, the same rules are applied to every individual 1099 record: entity type is detected from the TIN format, the second name field is dropped for individuals, and addresses map the same way as on the Company Information screen.

Before (2025): Form 1099-A with a single Borrower's TIN field and a separate foreign address line.

After (2026): Form 1099-A with Business selected as the borrower's entity type.

After (2026): Form 1099-A with Sole proprietor selected, showing the separate name fields.

After the transfer, review each 1099 record's Recipient or Borrower section using the same checklist above — not just the Company Information screen.
