ProSeries has dected a system change which invalidates the converted file contents

Hi everyone,

I'm wondering if anyone else has run into this issue over the past few days.

Beginning around 7/10/2026, I started receiving the following error when attempting to transmit 2025 returns:

"ProSeries has detected a system change which invalidates the converted file contents. Please re-convert."

Some additional details:

  • The return converts successfully.
  • The converted files are created in the 25EFILE folder.
  • As soon as I click Transmit, ProSeries immediately displays the error above and deletes the converted files from the 25EFILE folder.
  • This affects all 2025 products (1040, 1120, 7004, etc.), not just one return or one tax module.
  • 2024 ProSeries continues to e-file without any issues.

I've already tried the following:

  • Repair Updates through the Tool Hub
  • Downloading updates multiple times
  • Reinstalling ProSeries 2025 (including a fresh workstation installation)
  • Verifying all workstations are on the same build
  • Testing on multiple computers

Yesterday (7/15), I found an older workstation that had not yet been updated to the latest 2025 build. On that machine, I was able to successfully e-file the exact same returns that were failing on every other workstation.

However, today, when that computer automatically updated to the latest 2025 build, it immediately began producing the same "system change" error. That makes me think the issue may be related to the most recent update rather than the returns themselves.

I spent several hours with ProSeries Support on 7/14. The case was escalated beyond first-level support, but they were unable to resolve the issue and believed it was related to my files rather than the current ProSeries build. Based on the testing above, I'm not convinced that's the root cause.

Current build information:

  • ProSeries Professional 2025
  • WPRO32 Version: 20251311 (Program Version 2025.13.11)

Has anyone else experienced this issue after updating to this build? If so, were you able to resolve it?

Any suggestions would be greatly appreciated. Thanks in advance.

I am having the exact same problem.  On phone with customer support now.

In my case, customer support fixed the problem by walking me through the steps to rename a shared form file.  Once that was done, I had to re-verify my PTIN by checking a box, and now the returns are transmitting just fine.  Whole process took 10 minutes once representative signed into my computer.  Great experience with support, coming from someone who usually doesn’t have anything good to say about support.

Intuit should have fixed this problem the next day, and sent another update to fix it.  Alternatively, intuit could have sent out an e-mail with step-by-step instructions regarding the fix.  I work on this stuff in the evening, and there is no tech support at 10:00 PM.  What worse, there are instructions to be found, that says to update this and that, it’s a monumental task (30+ minutes) to accomplish, and it still doesn’t work.  Intuit is like AT&T’s new voice mail system that nobody asked for; AT&T changed something that worked fairly well to something that doesn’t work very well; when I contact them about fixing it, they tell me it’s my old phone.  Even the “old phone” that I purchase new from them a mere two months ago was having the same problem.  These big corporations just don’t give a damn.  Intuit sent out an update that was broken; they know they sent out a broken update, and they won’t just do the right thing and send out a patch to fix it.  Instead, they leave us searching in the middle of the night to fix something; a process that should take less than a minute turns into an impossible-to-accomplish task.

GM all,

Thanks for everyone's input. I'm glad to report that the issue has been resolved using the same method that ​@Frustrated-in-IL  kindly shared. Thank you!

On my second call to Tech Support, they were able to resolve the issue by renaming a file that had apparently become corrupted during the update process. The fix took about 20 minutes.

This appears to be a fairly common issue, as I ran into the same problem a few years ago. What still puzzles me is that during my first call to Tech Support, I spent over two hours working with Level 1, Level 2, and possibly Level 3 support, and no one was able to identify the solution—even though I specifically mentioned that it seemed like a file might have been "stuck" (probably not the best terminology on my part at the time). The Level 1 technician even mentioned he'd been there for 10 years…

Hopefully this helps someone else who runs into the same issue.

Hi ​@BW123CPA thanks for the update and thanks to ​@Frustrated-in-IL for adding what resolved this for you.

We'd like to add a little more information to this.

If the file that was renamed was SHRFRMYY (where YY represents the tax year of the ProSeries program), the preparer billing information will be removed from ProSeries.

If this wasn't addressed while speaking with the expert, you can transfer the preparer billing information to the current tax year by following these steps:

  1. While in the year that you’d need to transfer to from HomeBase, go to the File menu and select Transfer.
  2. Choose Transfer Preparer & Billing Info..
  3. Check the appropriate boxes.
  4. Select Transfer Now.

If any changes were made in the current year for billing, that'd need to be updated manually.

Can someone list the steps? What do we rename the file? I’ve tried to rename and relicense product to no avail - still stuck with same issue

Can someone please list these steps. My system updated after that I am not able to transmit returns. Can you please help. I tried fixing by going through tools from start button and still no fix.
